How to Write Emails With AI Assist?

AI Assist drafts, refines, and spam-checks your emails so you can reply to contacts faster. It lives inside the Send Email window in BigContacts, both as a compose CTA and inside the editor.

What Is the AI Email Assistant?

The AI Email Assistant is the AI helper built into the BigContacts Send Email window. It generates a full email draft from a quick action, a tone, and an optional prompt, then lets you regenerate or refine the result. It also checks each email for spam risk before you send.

Why Use It?

Reach for AI Assist whenever writing an email from scratch slows you down.

When a follow-up is overdue and you face a blank editor, generate a ready-to-edit draft in one click.
When a reply reads too blunt or too long, refine the tone or trim the length without rewriting by hand.
When a promotional email risks the spam folder, catch the risk and apply fixes before you send.

Example Use Cases

A sales rep sends a friendly welcome email to a new contact without drafting it manually.
A support agent fixes the grammar and shortens a reply they already typed.
An account manager checks a proposal email's spam risk and applies fixes before sending.

Step-by-Step Instructions

Step 1: Open the Send Email window from a contact record.
Step 2: Click AI Assist to reveal the Quick Actions and Response Tone options.

Step 3: Select a Quick Action — Follow-Up, Welcome, Schedule Meeting, Send Proposal, or Thank You.

Step 4: Pick a Response Tone — Friendly, Professional, or Casual.

Step 5: (Optional) Type your own instructions in the prompt box to shape a custom email.

Step 6: Click Generate to create the draft.

Note: Choose a Quick Action or type a prompt before you generate — without either, AI Assist has nothing to build from.

Step 7: Click Regenerate to produce a different version of the draft.

Step 8: Click Refine and choose an option such as Formalize or Elaborate to adjust the draft.
Step 9: Click Insert to place the draft into the email window.

Step 10: Click Send Email, or save the message as a draft.

Step 11: To refine text you have already typed, click AI Assist inside the editor.

Step 12: Choose Fix Grammar, Shorten, or Elaborate to refine your draft.

Step 13: Click Insert to apply the refined text, then send the email.

Step 14: When you click Send Email, the spam detector flags any spam risk before the message goes out.

Step 15: Review the deliverability score and the improvements AI Assist suggests.
Step 16: Click Apply Fixes to update the email, then send it.

Pro Tips & Interactive Settings

Tip: There are two ways to reach AI Assist — the AI Assist CTA in the Send Email window to write from scratch, and AI Assist inside the editor to refine text you have already typed.

Tip: Refining is repeatable. Use Regenerate or Refine as many times as you need before clicking Insert.
