Keeping your calendar in sync ensures accurate scheduling, automatic updates, and no missed meetings. With BigContacts’ Google Calendar Sync, any meeting added, edited, or deleted in BigContacts is automatically updated in Google Calendar within 1-5 seconds.

This guide explains how to sync meetings, send invitations, and troubleshoot common issues.

 

 

1) Syncing Meetings from BigContacts to Google Calendar

 

Once BigContacts and Google Calendar are connected, all meeting updates sync automatically.

 

How It Works:

 

  • Adding, editing, or deleting a meeting in BigContacts updates Google Calendar without extra steps.
  • Changes in Google Calendar are also reflected in BigContacts.
  • Syncing occurs within 1–5 seconds of making an update.

 

Important:

 

For meetings to sync, a contact must have an email address in their BigContacts record. If a meeting is linked to a contact without an email address, it will not sync to Google Calendar.

 

 

2) Sending Meeting Invitations and Updates

When a meeting is scheduled or modified in BigContacts, Google Calendar automatically handles invitations and updates.

  • The "Send Invitation" option in BigContacts ensures attendees receive meeting invites.
  • If a meeting is updated, Google Calendar notifies attendees of any changes.

3) Troubleshooting Google Calendar Sync Issues

 

Google imposes limits on the number of meetings that can sync at once. If syncing stops or disconnects frequently, it is often due to too many meetings being processed.

 

Why Does Google Sync Disconnect?

 

  • Google limits sync requests ("calls") processed at a time.
  • If there are too many meetings in Google Calendar or BigContacts, the sync may fail.

 

Solution:

 

  • Reduce the number of meetings in Google Calendar.
  • In testing, 50 or fewer meetings sync successfully.
  • Reconnect Google Sync to BigContacts after reducing meetings, then run another sync.

 

If issues persist, check that:

 

 

  • Google Calendar is connected to BigContacts.
  • The affected meetings include an email-linked contact.
  • The sync limit is not exceeded.
