Auto Capture Emails Sent From Gmail

If you use Gmail to communicate with contacts outside BigContacts, it's important to ensure that those emails are captured and logged in your CRM.

BigContacts can store any outbound email sent to a contact if it's BCC’d to your unique BigContacts email address. This links the message to the correct contact record in your account.

Why BCC Matters

When sending an email outside of BigContacts—whether from Gmail, Outlook, or another email client—BigContacts can't track it unless you manually BCC your custom BigContacts email address. This ensures the message appears in the contact’s history and is stored properly.

Without this step, BigContacts cannot associate the email with your CRM.

The Challenge With Gmail

Gmail doesn’t offer a built-in auto-BCC feature. That means every time you send an email, you’d have to manually remember to BCC your BigContacts email address—which isn’t always realistic.

The good news: Chrome extensions can help automate this process.

Tools to Enable Auto-BCC in Gmail

If you use Google Chrome, here are a couple of trusted browser extensions that can automatically BCC your BigContacts address whenever you send an email:

These tools let you set rules that automatically apply the BCC field, saving time and preventing human error.

Note: These extensions are third-party tools. We recommend testing them in your environment and reviewing their permissions before use.

Final Notes

  • Auto BCC is not required if you're sending emails from within BigContacts. Emails sent through your CRM are automatically logged.
  • This method is only for emails sent directly from Gmail (or similar external platforms).
  • Always test the auto-BCC setup to make sure your emails are being captured as expected.
