Auto Capture Emails Sent From Outlook

 

If you're using Microsoft Outlook to send emails to contacts outside BigContacts, you'll want those emails stored in the contact’s record. That way, your entire team can stay informed—even if the message wasn’t sent directly from the CRM.

 

BigContacts can capture any email sent from Outlook if you add your BigContacts BCC address to the message. This ensures a copy lands in the correct contact’s history folder inside your account.

 

 

Why You Need to Use BCC for Email Capture

 

BigContacts uses your custom BCC email address to route messages into the CRM. When BCC'd to this address, any email sent to a contact will appear in that contact’s history, typically within 5–7 minutes.

This is especially helpful for tracking:

  • Client communication

  • Internal follow-ups

  • Replies sent outside the CRM

But remember to enter your BCC email manually every time. That’s not ideal.

 

 

Can Outlook Add the BCC Automatically?

 

Outlook does not have a built-in feature to auto-populate the BCC field with your BigContacts address. But there’s a reliable workaround using a third-party Outlook add-in.

 

 

Use AbleBits Auto BCC/CC for Outlook

 

A third-party tool called Auto BCC/CC for Microsoft Outlook, built by AbleBits, lets you set rules to insert your BigContacts BCC address in outgoing emails automatically.

You can define rules based on:

  • Recipients

  • Folders

  • Accounts

  • Or apply it universally to all sent messages

This means your outbound messages will always be copied into BigContacts—without doing it manually.

 

Note: This tool works with Outlook versions from 2003 to 2016. As always, we recommend reviewing third-party tool permissions and testing before rolling it out organization-wide.
