How to Create & Manage Contact Lists for Better CRM Workflow

 

BIGContacts CRM lets you create and manage contact lists to organize leads, segment customers, and run targeted email campaigns. With dynamic and static lists, you can filter contacts based on key criteria and automate engagement with the right audience.

Steps to Create & Manage Contact Lists

 

Step 1: Open the Contact Lists Section
Log into BIGContacts CRM.
Navigate to Contacts > Contact Lists.
Click Create List.
 

 

 

 

Step 2: Choose List Type & Set Conditions


Static List (Fixed Contact Group)

 

A static list contains only the contacts you manually add when creating it. It does not update automatically, even if contacts match the conditions later.

 

Best for:

  • Sending promotional offers to a fixed set of customers.
  • Conducting surveys for a specific group.
  • Internal communication with existing contacts only.
     

 

Dynamic List (Auto-Updating Group)

 

A dynamic list updates itself based on set criteria. Contacts are added automatically when they meet the conditions and removed when they no longer match.

 

Note: When you are creating a dynamic list, use the "Is" constraint to filter contacts.

 

 

Best for:

  • Sending newsletters to new leads.
  • Targeting contacts who haven't been engaged recently.
  • Running automated campaigns for customers in a specific sales stage.

 

 

Feature Alert: 

 

  • BIGContacts CRM now provides you with a set of default lists to help you understand critical features easily.
  • These lists are pre-configured as either dynamic or static by default and cannot be deleted. You can only modify their names and list types if needed.

How to Create a List

 

Step 1: In your BIGContacts CRM account,

  • Navigate to Contacts -> Contact Lists.
  • Click 'Create List.' A new page opens.
  • Enter the List Name and select the List Type (Dynamic or Static).
  • Select a condition to filter contacts. 

 

Here’s an example of creating a list that matches specific criteria.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

You can add a condition and use the 'And/Or' option to make a list more specific. When you click 'Add Condition,' the 'Or' option will be selected by default.

 

Note: Use the constraint "Is" to filter contacts based on the following properties:

  1. Based on City
  2. Company Property -> Office name, office email, office phone, office country, office state, office city, division, website, title.
  3. Contact Property -> Email, first name, last name, phone, contact type
  4. Also, you can fetch data using over 13 new filters, including:
    Product Name, Assigned To, Marketing contact, Lead Type, Tags, Last touch, Lead source, Email opt-out, Dropdowns/picklist, Sales stages, Last touch assignee, Timezone, Private Contact.

 

 

 

 

 

 

 

 

 

 

 

Step 2: Click "Get Contacts" to retrieve contacts that match the specified criteria.

 

 

 

After the list appears, you can view all details related to the relevant contacts.

 

 

 

Step 3: Click "Save List" to save contacts to the list that matches the specified criteria.

 

 

How to Export a List

 

You can save your filtered contacts as a .csv file by simply clicking on "Export."

 

 

 

How to Edit a List

 

Step 1: Click on the name of the list that you want to edit. You can edit the following elements:

  • List Name
  • List Type
  • List Criteria

Step 2: Make the desired changes and click "Update List".

 

 

Important Notes on Managing Lists:

  1. Private Contacts & Annual Revenue:

    • Private contacts and annual revenue values will not update dynamically.
    • Private contacts are visible only to the assigned user.
  2. Bulk Editing:

    • You can select multiple lists for bulk actions, such as changing its status, exporting, or deleting it.
















       
    • Bulk operations cannot be performed on default lists.
       
  3. Editing a List Name:

    • Hover over the list name and click the pencil icon to edit the list name.








       
    • Only the list name or status can be edited. The criteria cannot be changed.
